1. Information We Collect

We collect information you provide directly to us, including your name, email address, business name, and website URL when you fill out forms, request a quote, apply to become a sales representative, or contact us. We also collect information about your interactions with our emails and SMS messages, including open rates, click-through rates, and delivery status.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve our services; to communicate with you about our products and services; to send you marketing communications (with your consent); to process your transactions; and to comply with legal obligations. We may use studio-supported tools to personalize our communications and improve the relevance of our outreach.

3. Information Sharing

We do not sell your personal information. We may share your information with service providers who assist us in operating our business (such as email delivery, SMS messaging, payment processing, domain registration, and analytics). These providers are contractually obligated to protect your information and use it only for the purposes we specify. If you buy a domain through us, your name and contact details are sent to our domain registrar (Cloudflare) and to the registry for that domain ending, as the rules for every domain require; they are hidden from public lookup records where the rules allow.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are excluded from all of the sharing described above and will not be shared with any third parties.

4. Communications & Opt-Out

Email: You can unsubscribe from marketing emails at any time by clicking the "Unsubscribe" link in any email we send. Transactional emails (order confirmations, account notifications) are not affected by unsubscribe requests.

SMS: You can opt out of SMS messages at any time by replying STOP to any message. We honor all opt-out requests immediately and will not send further SMS messages to opted-out numbers. Message frequency varies. Reply HELP for help. Standard message and data rates may apply.

5. Data Security

We implement industry-standard security measures to protect your personal information, including encryption in transit (TLS/SSL), secure authentication, and access controls. Payment information is processed by Stripe and never stored on our servers.

6. Data Retention

We retain your personal information for as long as necessary to provide our services and fulfill the purposes described in this policy. When you opt out of communications, we retain your contact information solely to honor your opt-out preference.

Photos and videos that a visitor attaches to a quote request on a customer's website are stored privately, checked for safety and summarized for that business by AI service providers, and deleted 90 days after they arrive.

7. Your Rights

Depending on your location, you may have the right to access, correct, delete, or port your personal data. You may also have the right to restrict or object to certain processing. To exercise these rights, contact us at the address below.

8. Phone Call Recordings, Transcripts and Summaries

Some of our services handle phone calls for the businesses we work with. If a business has call recording turned on, we record calls to the call tracking number we give it. If a business uses our AI receptionist, each call it answers is written down as a transcript while the call happens. Either way, callers first hear "This call may be recorded."

From those calls we make a written transcript and a short summary: who called, what they need, and a number to call back. The business the call was for gets the summary by email and in its customer portal; for AI receptionist calls it gets the transcript too. MiniMorph staff look at recordings, transcripts and summaries only when we need to in order to support the service or fix a problem.

Call recordings, and the transcripts made from them, are deleted 90 days after the call. AI receptionist transcripts and summaries are also deleted 90 days after the call, or sooner if the business asks. Summaries of calls to a call tracking number are also deleted 90 days after the call, or sooner if the business asks.

The business can turn call recording off in its customer portal at any time. Calls to its tracking number still ring through, but they are not recorded or summarized. It can also turn the AI receptionist off there, and calls then ring the business as usual.

Twilio carries the calls, records them and makes the transcripts; for AI receptionist calls, Twilio uses Deepgram to turn speech into text. Anthropic, an AI provider, writes the call summaries and the AI receptionist's replies. They are service providers as described in Section 3.

We never sell call recordings, transcripts or summaries, and we never share them with anyone for marketing.
